Overview

Lake Dallas ISD supports approximately 600 students across special education and 504 programs. Like many Texas districts, Lake Dallas has faced persistent challenges with staffing shortages, limited time for training, and rising compliance demands. When Dr. Jay Weidenbach joined the district as Executive Director of Special Programs, he inherited those pain points and a special education software platform he didn’t choose. What he found was a system that not only worked, but helped his team work better.

The Challenge: Tight Staff Time and Compliance Pressure

From the start, the Executive Director identified two major priorities:

  • Finding and training the right staff: “Most of the anxiety educators feel,” he noted, “comes from not being fluent in the tools or expectations. You can’t shortcut training.”
  • Simplifying compliance. With educators pulled in multiple directions, ensuring that documentation is accurate and complete can’t rest solely on individual experience.

Although software couldn’t solve staffing shortages, but it could reduce complexity, reinforce compliance workflows, and boost staff confidence.

Why Frontline? Built for Texas. Backed by Experience.

While Jay has a long history with special education software, what stood out about Frontline Plan Management (a core component of Special Programs Management) was its state-specific focus and long-term stability: “It’s Texas-based. The terminology and laws are built right into the system. It’s not a  generic national product. It’s clearly made for us.”

That alignment meant fewer errors and more time spent supporting students, not troubleshooting systems.

A System That Guides Compliance

At Lake Dallas ISD, compliance doesn’t have to be an afterthought because it’s embedded in the platform. Plan Management’s automated workflows prompt staff to complete required forms in the right order, reducing the need to track down errors or missing documentation later.

“The product makes sure the right things get done. I don’t have to worry, ‘Who wrote  this IEP?’ or “Did they remember the right form?’ It walks them through it.”

Even new staff gained confidence in their documentation. The result is a shift from reactive compliance checks to proactive peace of mind.

Reliability When It Matters Most

For district leadership, system stability isn’t a “nice-to-have.” It’s essential. The final weeks of school are notoriously high-pressure, with educators racing to finalize ARDs, complete evaluations, and lock progress reports. In past districts, this time of year often brought system slowdowns or full outages.

“With previous programs, I sent some very strongly worded emails that said, ‘You knew this was going to happen. It happened last year, and now we’re down again.’”

Downtime during critical windows caused frustration, disrupted compliance, delayed documentation, and added stress for educators already working under tight deadlines.

Now, that’s changed.

“It’s the last week of school, and I haven’t gotten a single complaint. That never used to happen with other software systems.”

For Lake Dallas ISD, the difference is clear: the system holds up when it matters most. Teachers can complete their work without interruption, and directors like Jay can focus on leadership, not tech troubleshooting.

Results

Since adopting Frontline Special Programs Management, Lake Dallas ISD has seen:

  • A sharp drop in help tickets and staff complaints
  • Increased staff confidence in documentation
  • Seamless compliance oversight, even under time pressure
  • Personalized support and a feedback loop that leads to real product enhancements

“Now I’m more secure that we’re doing a good job, because the software makes us do a good job.”

Advice to Other Directors: Learn it Yourself

Jay’s closing advice for anyone inheriting a new special education system?

“Take the time to learn it yourself. Run an ARD, write a plan, use the software firsthand. Only then can you truly support your team.”

Final Word

For Lake Dallas, ISD, Frontline Special Programs Management isn’t just a stable, state-specific platform. It’s a partner in ensuring that every student receives the support they deserve, and every educator has the tools to deliver it with confidence.
