Why K-12 AP Teams Can’t Catch Up on Invoices

Share article
  • AP invoice volume is rising, and so are hours and burnout.
  • Manual, low-value work is now the top factor AP leaders say limits their team.
  • In a Frontline ERP pilot, manual entry took 40-70% of the AP work week.
  • A different path for invoices into your ERP takes the keying off your team’s desks.

That’s how one accounts payable professional described their job to the Institute of Finance & Management (IOFM), which surveys its own AP member base directly. It’s not an unusual sentiment.

The numbers behind the backlog

In IOFM’s research, more than 75% of AP teams reported processing more invoices in the most recent quarter than the one before, and half of them are working longer hours just to keep pace. Nearly one in four AP staff who describe themselves as burned out say they’re considering leaving their organization.

K-12 invoice automation – the use of software to capture, read, and standardize invoice data before it reaches a district’s finance system – exists because of exactly this problem. It’s worth being specific about what “the problem” actually is: a volume of manual, repetitive work that doesn’t have a ceiling.

Ardent Partners’ 2025 State of ePayables research found that 39% of AP leaders now say their team’s potential is limited by the sheer amount of manual, low-value work sitting on their plate – the first time that factor has ranked as a top concern in the research firm’s 20-year history tracking the profession.

How much of your week actually goes to manual entry?

Those figures describe the profession, broadly, but your own team’s numbers may look different. Ask any five AP staff how much of their week goes to keying invoice data by hand, and the guesses will vary wildly, mostly because no one has ever had to add it up. Answer a few quick questions to see where your week goes.

Why this doesn’t get better on its own

A K-12 finance system was built to record a transaction, not read a document. That’s true whether the invoice is a single line item from a vendor or a thick, multi-page bill from a construction project. Every invoice – printed, scanned, emailed, electronic – still passes through a person’s hands before it becomes usable data, and there’s no version of “working harder” that changes that. It’s why IOFM’s members describe workplace culture, in their own words, as having become “one of survival.” The volume doesn’t level off; it just keeps landing on the same desks.

Who feels it most

Large district AP department

Five to ten people keying invoices all day, every day, with no natural stopping point.

One- or two-person shop

The district’s CFO is also, functionally, the AP clerk, because there’s no one else to hand the keying to.

What changes with Frontline Invoice Agent

Frontline Invoice Agent gives invoices a different path into your ERP. Instead of a person opening, reading, and keying each one by hand, Invoice Agent captures the invoice, extracts the fields that matter, and standardizes the record. Anything that needs a second look – based on criteria your district sets – gets surfaced for a person to review, with the reasoning attached. Nothing posts without your team’s approval.

Invoice Process Steps
1 Capture Invoice comes in
2 Extract Key fields pulled automatically
3 Standardize One consistent record
4 Review Exceptions flagged with reasoning, per your criteria
5 Approve Your team confirms
6 ERP Nothing posts without approval

The work shifts from typing to the parts of the job that actually need a person’s judgment: the exceptions, the vendor questions, the audit prep. That matters for more than just workload. IOFM’s data ties the two together directly: burnout and turnover risk climb right alongside invoice volume and hours worked. A district AP team that gets its keying hours back can work faster, and it’s easier to retain and easier to hire into.
