A Better Way to Manage the Employee Lifecycle

When Kerry Quinn moved into HR leadership, one of the first issues she wanted to solve was the lack of visibility after a person was hired. As a principal, she remembers recommending a candidate and then losing sight of what happened next. “Are they ready to be hired? Did their background check come back? What day are they starting?” she recalled. Without one central place to track progress, staff had to rely on calls, emails, and institutional memory to find answers.

From Paper Files to a Central Digital Record

East Hanover began using Frontline Central in 2019, starting with employee contracts. Quinn saw contracts as the right entry point because they touched every employee and helped the district build familiarity with the system quickly. From there, the district expanded its use of Frontline Central into a broader employee lifecycle hub for digital employee files, onboarding documents, policy notices, direct deposit forms, evaluations, and other HR workflows. 

Paperless Onboarding from Hire to Day One

Today, East Hanover runs 100% paperless onboarding through Frontline Central. Once a new hire is approved, the district sends onboarding materials electronically and tracks completion in real time. The team uses multiple onboarding packets for different employee groups, and Quinn said they aim to send everything within the next two or three days after the board meeting, often the very next day. “The onboarding process is quick, and it has to be nowadays,” she said. “You do not have time to wait around for someone to get another job.” 

Less Repetition, More Visibility

For employees, the experience is simpler because information already entered into the system carries forward across forms. Instead of filling out the same personal details repeatedly, employees can review, complete, sign, and upload what is needed in one digital workflow. For HR, Frontline Central provides a low-lift way to see what has been completed, what is still outstanding, and whether a new hire is ready to start. Quinn also noted that even staff members who are not especially tech-forward have adapted easily. “If you can order items on Amazon, you can do this on Frontline Central,” she said. 

Stronger Security and Continuous Improvement

Frontline Central has also helped East Hanover improve security around sensitive employee data and create a foundation for ongoing process improvement. The district no longer relies on paper forms for high-risk information such as direct deposit changes, reducing the chance of error or fraud. Quinn shared that fake emails requesting direct deposit changes have reached the district before, but the district’s verified digital workflow helped prevent mistakes. Over time, the team has continued building new forms and workflows in Frontline Central, including forms for returning retirees, support staff evaluations, and other specialized HR processes. What started as a move away from paper became, in Quinn’s words, a system that eventually reached “autopilot” after about two years of steady refinement.
